Team Invitations
A team invitation connects an existing Bookora account to a business owner’s team. Invitations work with a one-time code that the joining person generates and gives to the owner. Accepting changes who can access the account, who controls some settings, how Premium is provided, and where the member’s profile can appear.
Before accepting an invitation
Section titled “Before accepting an invitation”Receiving or sharing a code does not put you in a team and does not give anyone access to your account. Access starts only when you tap Accept on the invitation and confirm the access warning.
By accepting, the member understands that:
- the team owner can enter the member’s Bookora account without the member’s password;
- the owner can view and change information in that account, including the calendar, appointments, clients, services, and account settings;
- online-booking settings, automatic-notification settings, and notification templates become managed by the owner, and the owner’s values replace the member’s own;
- the member’s name, profile photo, phone, Instagram, and a booking-enabled address may appear on the owner’s public team booking page;
- confirmed team members can see one another’s name, email, phone, and profile photo in the team roster;
- removal from the team, or expiration of the owner’s plan, can disconnect the member’s Google Calendar and turn off team Premium features; and
- any personal App Store or Google Play subscription remains separate and is not canceled automatically.
Bookora shows this warning as a separate confirmation dialog with Accept and grant access and a cancel button. Closing the dialog does not accept the invitation.
Review the Team Accounts, App Terms, and App Privacy Policy before accepting.
Get an invitation code
Section titled “Get an invitation code”The person who wants to join the team creates the code.
- Open the account switcher from your profile card.
- Tap
Join a team. - Bookora requests a new one-time code from the server and shows it with a warning to share it only with someone you trust.
- Tap the code to copy it. A

Share codeto send it through any app on your device.
Code rules:
- The code is 8 characters long and uses digits and upper- and lowercase letters.
- Capitalization matters.

- Generating a new code cancels the previous one.
- You can only generate a code if you are not in a team, do not own a team, and have no pending invitation. Otherwise Bookora shows
Only users without a team can generate an invitation code.
If the code expires before the owner uses it, generate a new one.
Send an invitation
Section titled “Send an invitation”Only a team owner can send invitations.
- Ask the person to send you their one-time code.
- Open the profile card >
Team>Add account. - Choose
Invite existing user. - Paste or type the code. Spaces and hyphens are ignored, but capitalization is sent exactly as entered.
- Send the invitation.
The invitation appears as Pending and uses a seat in the app. While it is pending, the owner sees masked details rather than the person’s full profile.
The code is used up the moment the invitation is created, not when it is accepted. If the invitation is declined or canceled, the same code cannot be reused — ask the person for a new one.
To add someone who has no Bookora account yet, use Create new account instead. That creates a managed staff account that is active immediately and is not an invitation. See Team Accounts.
Accept or decline
Section titled “Accept or decline”The invited person sees an invitation card on their profile with the owner’s name and photo.
- Tap
Acceptto join. The full-access warning appears; tapAccept and grant accessto confirm. The account becomesActive, the owner’s team settings are applied, and the owner can then enter the account. - Tap
Declineto reject it. The invitation is deleted, your own solo session is restored right away, and the owner can invite you again with a new code.
If the invitation does not appear, close and reopen Bookora or return to the app after briefly putting it in the background. You can also tap the invitation notification to refresh the account.
Cancel a pending invitation
Section titled “Cancel a pending invitation”The owner can open Manage team and tap the cancel button beside the pending invitation. This frees the seat. The invited person may not receive a separate cancellation notification.
If they try to accept afterward, Bookora shows This invitation is no longer available and removes the card.
After joining
Section titled “After joining”The member keeps a separate account with their existing calendar, clients, services, profile, and booking link. The team relationship does not merge records between accounts.
The owner can switch into the member’s account. The member can continue signing in directly on their own device, but cannot switch into the owner’s or other team members’ accounts.
These settings come from the owner and are re-applied whenever the owner changes them:
- online-booking settings, including the enabled state, booking window, slot interval, date limits, sharing text, and cancellation-policy link;
- the automatic-notifications switch and its active channels; and
- the full set of notification templates, including their text and language.
Personal details are not copied. Each member keeps their own booking link, calendar, clients, services, and profile. A member cannot change the owner-managed settings, and the Templates card is hidden inside a member account.
If the member already has a personal Bookora subscription, it may continue renewing. Joining a team does not change the store subscription. Review it under Apple or Google subscriptions and cancel future renewal if it is no longer needed.
If the owner’s plan expires or gets smaller
Section titled “If the owner’s plan expires or gets smaller”- Expired plan. The team stays intact. Members stay
Activeand the owner can still switch into their accounts. Premium features — online booking, automatic notifications, and Google Calendar sync — are turned off for the owner and every member until the plan is renewed. Notification templates are kept. - Smaller plan. If the new plan has fewer seats than the team uses, pending invitations are canceled first — an invitation holds a seat just like an active member — and a canceled invitation can no longer be accepted. Active members are removed only if that does not free enough seats, newest first, keeping the longest-standing ones. Removal does not delete anyone’s Bookora account or data, but rejoining requires a new invitation and a new code.
Leave a team
Section titled “Leave a team”Bookora currently does not show a Leave team button for members. Ask the owner to remove the account, or contact support@bookora.me if the owner cannot help or the account access is disputed.
Removal ends the owner’s team access immediately, revokes any session the owner opened into the account, and removes the member from the owner’s public team page. The member’s own sign-in still works. It does not delete the member’s Bookora account or profile photo. Team Premium features turn off, and the member’s Google Calendar is disconnected as described in Team Accounts.
Common issues
Section titled “Common issues”This invitation code is invalid or has expired. The code was mistyped, has passed its 10-minute window, was already used, or was replaced by a newer code. Ask for a fresh code.- The code looks right but is rejected. Check capitalization — the code is case-sensitive. Spaces and hyphens are safe to leave in.
You cannot invite yourself. Use a code generated by the other person’s account.This user cannot be invited. They already belong to a team, own a team, or have another pending invitation. They must resolve that first.Only the team owner can invite members. You are signed in as a member, not as an owner.Only users without a team can generate an invitation code. You already have a team, belong to one, or have an invitation waiting. Resolve that first.- The invitation disappeared. The owner may have canceled it, it may already have been accepted or declined, or the owner downgraded their plan — a downgrade cancels pending invitations first, before removing any member.
- Accepting shows
This invitation is no longer available. The invitation changed before you accepted it. Ask the owner to send a new one using a new code. - A network error appears. The invitation stays available. Reconnect and try again.
- I joined but still see my old plan. Refresh or reopen the app. Also check whether a separate personal store subscription is still active.
- I was removed from a team I did not leave. The owner may have removed you, or their plan was downgraded so far that canceling pending invitations did not free enough seats and the newest members were removed too. Ask the owner for a new invitation.
