Team Accounts
Team Accounts let a business owner manage several separate Bookora accounts under one subscription. Each person keeps their own calendar, clients, services, addresses, profile, and booking link. The owner can switch into active member accounts to help run the business.
How to get there
Section titled “How to get there”Open your profile card, tap Team, then choose:
Add accountto add someone;Manage teamto review members, invitations, and seats; or- an active account to switch accounts.
Only the team owner can add people, manage seats, or remove a member.
Accounts, roles, and seats
Section titled “Accounts, roles, and seats”- Owner — buys and manages the subscription, manages the team, and can switch into active member accounts.
- Member — has a separate Bookora account and receives Premium access while they belong to the team.
- Seat — one account covered by the plan. The owner’s account is included in the total.
Seat totals:
- Free (no subscription) — 1 seat, used by the owner. A free account cannot invite or create team members.
- Individual Premium — 2 seats in total: the owner and one other account.
- Business plans — the seat count shown on the plan you buy, owner included.
Available plan sizes, billing periods, prices, and trials can differ by platform and region, so the purchase screen is the current source of truth.
Seats in use are counted as owner + active members + pending invitations. A pending invitation reserves its seat right away, so accepting an invitation does not change the count. Free a seat by canceling a pending invitation or removing an active member.
Add someone to your team
Section titled “Add someone to your team”You can create a new account or invite an existing Bookora user with a one-time code.
Create a new staff account
Section titled “Create a new staff account”Use this when the person does not already have a Bookora account.
- Tap
Add account>Create new account. - Enter their email and a password. The password must contain 8–32 characters.
- Optionally add their name and phone number.
- Confirm the new account.
- Choose
Switchto set it up now, orNot nowto remain in your account.
The account becomes active immediately — this is not an invitation, and there is nothing for the person to accept. It has its own calendar, clients, services, addresses, profile, and booking link, and it receives your team’s online-booking settings, notification settings, and notification templates. Give the sign-in details to the member securely and ask them to change the password after their first sign-in. Only create an account when you are authorized to do so and have given the person Bookora’s App Terms and App Privacy Policy.
Invite an existing Bookora user
Section titled “Invite an existing Bookora user”Invitations use a one-time code created by the person joining.
- Ask the person to open their account switcher, tap
Join a team, and send you the code. - Tap
Add account>Invite existing user. - Enter the code. Spaces and hyphens are ignored, but capitalization matters.
- Send the invitation.
The code is valid for 10 minutes, works once, and is used up when the invitation is created. The invitation then stays Pending until the person accepts or declines it. You see masked details while it is pending; their full profile becomes visible to the team after acceptance. See Team Invitations for both sides of this process.
You cannot invite yourself, someone who already belongs to a team, someone who has another pending invitation, or someone who already manages a team. A code cannot be generated by a person in any of those situations.
What the owner can do
Section titled “What the owner can do”The owner can:
- enter any active member account without asking for that member’s password;
- work with that account’s calendar, appointments, clients, services, addresses, statistics, and other account information;
- manage online-booking settings, automatic-notification settings, and notification templates for the team;
- remove a member or cancel a pending invitation; and
- change the team plan and number of seats.
An owner session on a device can reach every active team account. Protect that device with a passcode or biometric lock, do not share it, and sign out before giving it to someone else.
There is no way to pause a member. A member is either in the team or removed from it.
What a member can do
Section titled “What a member can do”An active member can use their own account and its Premium features. Their calendar, clients, services, Google Calendar connection, regional preferences, profile, and personal booking link remain separate from other accounts.
Online-booking settings, automatic-notification settings, and notification templates are managed by the owner. A member cannot change them, and the Templates card is hidden in a member account. A member also cannot buy or change the team subscription. If a Premium feature is locked, ask the owner to check the subscription.
Owner settings are copied to a member when the member joins and again whenever the owner changes them. Settings the member set on their own before joining are replaced at that moment. Personal details — booking link, profile, calendar, clients, services — are never copied.
Members can sign in directly on their own device with their own credentials. Direct sign-in does not give them access to the owner’s or another member’s account.
Member statuses

There is no inactive status. Members can no longer be activated or deactivated, and those actions have been removed from the member menu. While an invitation is pending, the person keeps their own settings, is not covered by team rules, and cannot be opened by the owner.
Remove a member
Section titled “Remove a member”Open Manage team, open the menu beside a member, then choose an action:
- Remove from team ends the team relationship and frees the seat. It does not delete the person’s Bookora account or their data.
- Cancel invitation withdraws a pending invitation and frees the seat.
Removal takes effect immediately: any session the owner opened into that account stops working, while the person’s own sign-in continues to work. It also turns off the member’s automatic notifications and online booking, and disconnects their Google Calendar integration: Bookora attempts to remove the events it created in Google Calendar, removes imported Google events from Bookora, revokes access, and deletes the saved connection. If the person joins the team again later, they must connect Google Calendar again; removed events are not restored automatically.
Change the team size
Section titled “Change the team size”Tap Get more seats on Manage team, or open the subscription page.
If a downgrade leaves fewer seats than the team uses, Bookora frees the extra seats in this order:
- Pending invitations are canceled first. A pending invitation holds a seat exactly like an active member, so it is released before anyone who has already joined. A canceled invitation can no longer be accepted, and the person is not notified separately.
- Active members are removed next, and only if canceling invitations did not free enough seats. Bookora keeps the longest-standing members and removes the most recently added ones.
Removed members keep their own Bookora accounts and data, but they are no longer in the team. Buying a larger plan later does not bring anyone back automatically — invite them again with a new code.
If the owner’s subscription expires, the team itself stays intact: members remain active and the owner can still switch into their accounts. Premium features — online booking, automatic notifications, and Google Calendar sync — are turned off for the owner and every member until the plan is renewed. Notification templates are kept, and each affected member must reconnect Google Calendar after renewing.
Common issues
Section titled “Common issues”No free seats. A pending invitation may be using the last seat. Cancel it, remove a member, or choose a larger plan. On a free account the single seat is always used by the owner.This user cannot be invited. The person already belongs to a team, owns one, or has another pending invitation. They must resolve that first.This invitation code is invalid or has expired. Codes last 10 minutes, work once, and are case-sensitive. Ask for a new one.- The person cannot generate a code. Codes can only be created by someone with no team, no team of their own, and no pending invitation.
- I added someone but cannot switch to them. Pending accounts cannot be opened. Ask them to accept the invitation.
- A member’s Google Calendar is missing after they rejoined. Rejoining does not restore that connection. The member must connect it again.
- A member already pays for Bookora. Joining a team does not cancel their personal App Store or Google Play subscription. They should review and, if appropriate, cancel it in the store to avoid another renewal.
- Members or invitations disappeared after I changed plans. A downgrade frees the seats it no longer covers: pending invitations are canceled first, then the newest members are removed. Invite them again once you have seats.
- The team list looks out of date. Pull down on
Manage teamto refresh. If an invitation just changed, leave and reopen the app. - The owner plans to delete their account. You don’t have to disband the team first — when the deletion runs, the team is removed automatically and every member becomes an independent user again with their own account and data intact. They may not receive a deletion notice, so tell them directly. See Account Deletion.
